Personal and special category data
For West Sussex Schools training we collect the following data:
- full name, date of birth, class name, year group, ethnicity, gender, SEND and pupil premium eligibility information
- medical and behavioural history (where relevant to the training)
For West Sussex one-to-one training and holiday courses we also collect contact details including address, telephone number and email address.
Data Controller
West Sussex County Council (WSCC) complies with the Data Protection Act and the General Data Protection Regulation (GDPR). It is registered as a ‘Data Controller’ with the Information Commissioner’s Office (Reg. No. Z6413427).

We ensure that your personal data is accurate, processed fairly and lawfully, kept secure and retained for no longer than is necessary.
The legal basis for processing personal and special category data
In line with article Article 6(1)(a) and 9(2)(a) GDPR your consent will be obtained for the collection and processing of personal and sensitive (ethnicity/health/disability) data.
Special category (sensitive) data is processed for reasons of substantial public interest’ (Schedule 1, Part 2(8)) in order to ensure equality of opportunity and treatment.
If recipients no longer wish to receive our service and withdraw consent, we are still required to report all existing data to our funders and do so under Article 6(1)(e) as a task carried out in the exercise of our official authority. Once reporting has been completed, data will be deleted and no longer used.
How we use your personal information
Our Privacy Policy determines how we use personal data.
Your data will be used to deliver the service which you have requested and support the council to continue supplying cycle training.
We aim to maintain high standards, adopt best practice for our record keeping and regularly check and report on how we are doing. Your information is never sold for direct marketing purposes.
Our staff are trained to handle your information correctly and protect your confidentiality and privacy.
Who we share your information with
Delivery of this cycle training is subsidised by The Bikeability Trust.
To support the equal delivery and monitoring of cycle training across England, the Bikeability Trust is required to collect information about rider characteristics. This data will enable the Trust to demonstrate the need for additional funding and target interventions to ensure every child can receive Bikeability cycle training.
This data is provided anonymously to Bikeability and the Department for Transport. This includes:
- year group
- SEND
- pupil premium eligibility
- gender
- ethnicity
Any sharing of personal data is always done:
- on case-by-case basis
- using the minimum personal data necessary
- with the appropriate security controls in place
- in line with legislation
Information is only shared with those agencies and bodies who have a 'need to know' or where you have consented to the sharing of your personal data to such persons.
