The online provider portal is available for early years and childcare providers to submit data and funding claims.

Key dates for submission

    • Autumn 2024 - Portal open 19 June to 5 July 2024. Payment expected week commencing 15 July 2024
    • Autumn 2024 - Portal open 2 September to 27 September 2024. Headcount day 19 September 2024. Payment expected week commencing 21 October 2024

    This includes Early Years Pupil Premium (EYPP) and Disability Access Fund (DAF).

  • An instant check of eligibility for extended free entitlement is always available via the portal.

Tasks for all providers (required termly)

  • Completing the form is mandatory, whether or not you offer free entitlement provision. Doing so ensures that your information on the Family Information Service (FIS) website, and given to parents who call us, is up to date if you are on our public list. Even if you are not on the public list, you still need to complete the form, regardless of whether or not you are advertising through the website.

    You also need to complete the form even if you don't have any vacancies, as West Sussex County Council has a statutory duty to regularly report whether childcare is sufficient in the county. 

    If you operate more than one childcare provision, such as a breakfast club and a holiday scheme, you will need to complete a separate form for each one.

    You can update your details at any time of year. We process profile forms within 21 days and will email you to confirm when we have done this.

    Once we have processed your form, the update will appear on the FIS website, if you have chosen to advertise.

  • A termly sufficiency update is mandatory for all early years and childcare providers, through which you tell us the number of places and the number of vacancies you have.

    After you complete your first update, you can copy a previous term’s data and amend only the figures that have changed, saving you time.

    You may submit or edit your data at any point of a term before it ends, at which point the data is locked and a new term opens.

    The data you give us:

    • is not shared with parents looking for childcare
    • enables us to carry out our statutory duty to report on and analyse sufficiency of childcare in West Sussex
    • helps ensure that new provision is directed to areas where there is demand for places
    • can reduce unnecessary direct competition.

    Supporting document

  • Since January 2020 a form replaced the STAFF tab on your portal account. 

    We must hold staff information for:

    • the main contact for your setting
    • the setting manager, if different to the above
    • staff with portal accounts.

    Use this form to:

    • add, update or remove staff
    • request a portal account for a staff member
    • add or remove funding access for an existing portal account holder

    Childminders

    You do not need to use this form to update your own details as these are updated via the termly provider profile update form. You can use this form if wish for someone other than yourself to have an OPP account, such as a childminding assistant.
