How to request copy certificates

The West Sussex Registration Service holds records of births, deaths, marriages and civil partnerships that occurred in West Sussex since records began in 1837.

You can purchase copies of these certificates online (standard service only) or by phone, post or in person (standard or priority service). 

Standard 5-day service

Cost: £10.00

Copy certificates issued after the registration appointment will cost £10.00, which includes an admin and postal charge. We will endeavour to post your certificate to you within 5 working days. Family history certificates may take longer but we will post them to you as quickly as possible.

If you are ordering by post, please enclose a self-addressed envelope and payment in sterling, cheque or postal order made out to West Sussex County Council. Please confirm how many copy certificates you require, as well as the details listed in the table below.


Same day priority service

Cost: £25.00

We offer a priority service for same day issue of copy certificates at a charge of £25.00. To take advantage of this service you must place your order by phone, post or in person before 10.00am (Monday-Friday).

Your copy certificate will be ready for collection by 4.00pm on the same day, provided we hold the relevant register.

Please note that our current online system is not setup to process priority requests.

Priority certificates may be collected from the Record Office, Chichester or posted first class. Should you prefer postage by Special Delivery Next Day please ask for further details. Please note that you will be charged for this service in line with postal rates.

There may be times when, due to postal delays, we do not receive requests when expected. We will always process these requests based on the date and time we receive them.

Should an entry not be traced, the Registrar will contact the customer as soon as this has been established and arrange a refund.

In order to provide both services the minimum information required is set out below.


What information will I need?

As well as your contact details and the purpose of why you need the copy certificate you will also need to have the following information.

Birth certificate

Full name at birth, date of birth, place of birth, father's full name, and mother's full name.

Death certificate

Full name of deceased, occupation, home address, date of death, place of death, date of birth or age at death and, if married or in a civil partnership, please give name and surname of spouse/civil partner.

Marriage certificate

Full names for both parties at the time of the registration and the date and place (church or venue and town)of the marriage.

Civil partnership certificate

Full names for both parties at the time of the registration and the date and place (venue and town)of the ceremony.
